Registration Terms
The following terms and conditions apply to all registrations and payments made for the 24th World Veterinary Poultry Association Congress (WVPAC 2027).
By registering for WVPAC 2027 or using the online payment system, participants acknowledge and accept these terms and conditions.
Registration Policy
Registration becomes binding after 2 August 2027.
Participants may modify their registration details and registration package through their online registration account, subject to availability and applicable deadlines.
All registration changes, cancellations and transfer requests must be submitted in writing to:
Cancellation Policy

No refunds will be granted after the cancellation deadline. The Congress Organisers strongly recommend that all participants obtain comprehensive travel and cancellation insurance.
Registration Transfer
If you are unable to attend WVPAC 2027, your registration may be transferred to a colleague.
All transfer requests must be submitted in writing to:
Force Majeure and Medical Cancellation
In cases of Force Majeure or health-related circumstances that constitute an insurmountable obstacle preventing participation in the congress, a refund of the registration fee may be granted under the following conditions:
- A refund will be provided less an administrative charge of EUR 75.
- The cancellation request must be submitted in writing.
- An official medical certificate or supporting documentation must be provided within two (2) weeks of the cancellation notification.
All requests will be reviewed individually by the Congress Secretariat.
Visa Requirements and Travel Documents
Participants are solely responsible for obtaining all travel documents required to attend WVPAC 2027, including but not limited to:
- Passports
- Visas
- Entry permits
- Transit documents
- Any other travel authorisations required by the countries involved in their journey
Participants are responsible for ensuring that their visa application is submitted in sufficient time.
Visa refusals, delayed visa issuance, incomplete visa applications, failure to apply for a visa in a timely manner, failure to obtain the necessary travel documents, or any other immigration-related issue shall not constitute valid grounds for cancellation with refund outside the applicable cancellation policy.
Participants are therefore strongly advised to verify visa requirements well in advance and, where applicable, submit visa applications at least three months before travelling to Belgium.
Any refund request resulting from visa-related issues shall be handled strictly in accordance with the standard cancellation policy stated above.
Payment Terms
Credit Card Payments
Accepted credit cards:
- VISA
- VISA Electron
- MasterCard
By providing credit card information, participants confirm that:
- They are the authorised cardholder or authorised user
- All submitted information is correct
- They authorise the congress organiser to charge the applicable registration fees.
The transaction amount will be charged immediately at the time of registration.
Bank Transfer Payments
Detailed payment instructions, including bank account information, are provided during the registration process and on your invoice.
Please mention the following reference with every bank transfer:
WVPAC2027 – [your registration reference number]
Failed or Declined Payments
The organisers cannot be held responsible if a credit card payment is declined or refused by the card issuer for any reason, including incorrect card details or insufficient funds.
Registration is considered valid only after payment has been successfully received.
Liability
Damage to Venue Property
Participants are fully responsible for any damage caused to congress venues, equipment or facilities through their own actions or negligence.
The Congress Organisers cannot be held liable for such damage and reserve the right to recover any resulting costs from the participant concerned.
Participants are encouraged to ensure they have appropriate insurance coverage.
Privacy & Data Protection
By registering for WVPAC 2027, participants agree to the processing of personal data in accordance with the Medicongress Services NV Privacy Policy.

Personal data will be processed exclusively for congress-related purposes and in compliance with applicable privacy legislation.
VAT Information
Registration fees are processed under the applicable Belgian VAT regulations.
Exemption from VAT according to Art. 44 W.BTW §2,4°.
